Role Overview

The Employment Services Administrator will be one of the first points of contact for all incoming enquiries to Enham Trust Employment Services, specifically working with the Skills 2 Achieve team. 

You will be required to write up actions from meetings, raise invoices and purchase orders, monitor customer calls/emails and action queries in a timely manner.

The role requires the ability to travel across the region to support contract delivery.

What you will be doing

Operational

  • To administer the Skills 2 Achieve delivery in line with ESFA contract requirements and the Ofsted common inspection framework
  • Accurately record and maintain learner records on the Cognisoft Yeti system
  • Accurately and timely complete data returns to the ESFA as set out in contractual guidance and highlight any errors to the Team Leader
  • Administer City & Guilds walled garden system for learners, registering learners, booking exams and claiming certificates
  • Produce monthly KPI report and distribute to the Head of Employment Services and S2a Team
  • General administration duties such as telephone answering, enquiry handing, filing and preparation of centre materials
  • Any other duties as may be required from time to time

Quality

  • Ensure that all work is actioned following Enham guideline and procedures in line with contractual obligations in an accurate and timely manner
  • Ensure good communication, quality recording and administration within established procedures and maintain confidentiality in accordance with contractual guidelines, including access to records

Finance

  • Accurately process bursary claims upon receipt of appropriate evidence and track payments made to learners by the Trust
  • Accurately record and administer learner funding claims with the ESFA and maintain the financial funding spreadsheet
  • Accurately record and administer learner funding claims with the ESFA and maintain the financial funding spreadsheet
  • Work with the centres to administer petty cash and expense claims 
  • Undertake ESFA data returns in line with published timeframes

People Management

  • If required, support and manage any volunteers in accordance with volunteer guidelines.
